Work Schedules

The University's standard work week for pay computation purposes is 12:00 a.m. Monday through 11:59 p.m. Sunday.

The core business hours of the University are 9:00 a.m. to 5:00 p.m. Monday through Friday. The operational needs of some units may require variations to these hours.

601.1 NON-EXEMPT WEEKLY-PAID STAFF

The total number of hours non-exempt weekly-paid staff are anticipated to work each week are called "scheduled hours." For full-time non-exempt weekly-paid staff, scheduled hours are typically 40 hours, 37.5 hours or 35 hours.  

Completing the Workday business processes of Recruiting Create Job Requisition, Hire, and Staffing Event:

  • Full-time non-exempt weekly-paid staff default hours are equal to 35, 37.5 or 40 depending upon the weekly hours of their supervisory organization. Their scheduled hours should be the same as their default hours.
  • Part-time non-exempt weekly-paid staff default hours are always equal to 40 and their scheduled hours are the total number of hours they’re anticipated to work per week, between 17.5 to 34.

Any changes to a non-exempt weekly-paid staff member's scheduled hours that are expected to continue for more than four (4) consecutive weeks must be approved by Human Resources and then updated in Workday.

Non-exempt weekly-paid staff may also have a regular work schedule (for example, 9 a.m. to 5 p.m., Monday through Friday). It is the responsibility of the supervisor to establish work schedules to meet the operating needs of the unit, advise staff members when hired of their daily and weekly work schedules, and advise staff members of changes in their work schedules as far in advance as possible.

Although non-exempt weekly-paid staff members have established work schedules and scheduled hours, it is expected they may need to work outside of their regular work schedules and/or their scheduled hours. Non-exempt weekly-paid staff are paid for all time worked and are required to accurately record in Workday all time worked each work week. Refer to the following policies for additional information: Overtime Compensation and/or Compensatory Time - Policy 302 and Time Reporting.

601.2 EXEMPT MONTHLY-PAID STAFF

Exempt monthly-paid staff are also assigned work schedules and scheduled hours in Workday.  However, these staff are expected to work as needed and are paid on a salary basis that is intended to compensate them for all time worked, regardless of the number of hours.

Completing the Workday business processes of Recruiting Create Job Requisition, Hire, and Staffing Event:

  • Full-time exempt monthly-paid staff are treated as working 40 hours per week*.  Default hours and scheduled hours are always equal to 40.
  • Part-time exempt monthly-paid staff default hours are always equal to 40 and their scheduled hours are the total number of hours they’re anticipated to work per week, between 17.5 to 34.

*Exempt monthly-paid staff are paid on a salary basis.  This is for tracking purposes only and is not intended to reflect actual hours worked.

601.3 UNIVERSITY STAFF WORKING AT UPHS, CHOP OR THE WISTAR INSTITUTE

Hours of work for University staff who are assigned to work at UPHS, Children’s Hospital of Philadelphia (CHOP) or the Wistar Institute are established in accordance with operational needs. University pay practices, benefits and policies apply to these staff members.

601.4 UNIVERSITY STAFF WHO ARE COVERED BY COLLECTIVE BARGAINING AGREEMENTS

University staff covered by collective bargaining agreements should refer to the appropriate article in their contracts.
